Privacy Policy

This Privacy Policy explains what personal information BuildClearance, a service of Triad Core Builders (“we,” “us”), collects when you use buildclearance.com (the “Site”) or order a zoning and permit intelligence report, how we use that information, who we share it with, and the choices you have. By using the Site you consent to the practices described here.
1. Information We Collect
Information you provide directly
- Order information: your name, email address, billing address, property address you want analyzed, and payment information (which is collected and processed by Stripe; we do not store full card numbers).
- Contact and support correspondence: the contents of any email, contact-form submission, or message you send us.
- Marketing-list opt-in: email address and any preferences you supply when subscribing to our newsletter or downloading a lead magnet.
- Referral-program enrollment: agent name, brokerage, NC real estate license number, and payout details if you join the agent referral program.
Information collected automatically
- Server logs: IP address, user-agent string, requested URL, referrer, and timestamp, retained by our hosting provider (Cloudflare) for standard security and performance purposes.
- Cookies: a small number of essential cookies for site functionality. We do not currently run third-party analytics or advertising cookies. If we add analytics or any non-essential cookies in the future, we will display a consent banner before they are set and update this Policy.
2. How We Use Your Information
- To produce and deliver the Report you ordered, including looking up public-record data about the property address you submitted.
- To process payment, issue refunds where applicable, and prevent fraud.
- To send you the Report, order confirmations, follow-up emails directly related to your order, and (only if you opted in) marketing communications.
- To respond to your support requests.
- To improve the Service — understand which content is useful, fix bugs, develop new features, and analyze aggregate usage patterns.
- To comply with legal obligations, enforce our Terms of Service, and protect the rights and safety of BuildClearance, our customers, and the public.
3. Who We Share It With
We share personal information only with the following categories of service providers, each contractually obligated to use the information only for the purposes we specify:
- Stripe — payment processing. Stripe’s privacy policy: stripe.com/privacy.
- Cloudflare — site hosting (Cloudflare Pages), DNS, and edge security. Cloudflare’s privacy policy: cloudflare.com/privacypolicy.
- Google Workspace (Gmail) — transactional email delivery (order confirmations, report delivery, support correspondence) and our support inbox. Google’s privacy policy: policies.google.com/privacy.
- FluentCRM — marketing-email automation, only if you opt in to our mailing list. FluentCRM stores subscriber data on our own infrastructure.
We do not sell your personal information. We do not share customer order data, property addresses, or contact information with marketing third parties, data brokers, or advertising networks.
We may disclose information if required by law, valid legal process (subpoena, court order), or to protect against fraud or abuse. We will notify you of such requests when permitted to do so by law.
4. Data Retention
- Order records (name, email, property address, Report PDF): retained for 7 years to support refund requests, agent referral records, tax compliance, and dispute resolution.
- Payment information: handled by Stripe per Stripe’s retention policies. We retain only the order ID, last 4 digits of card, and amount.
- Marketing-list email: retained until you unsubscribe.
- Server logs: 30 days (Cloudflare standard).
5. Security
All traffic to and from the Site is encrypted with TLS. Payment data is tokenized by Stripe and never touches our servers. Order data is stored in encrypted databases. Access to customer information is limited to authorized personnel on a need-to-know basis. No system is perfectly secure; we will notify affected customers and applicable authorities of any breach of personal information as required by law.
6. Your Rights and Choices
- Access, correction, deletion: email hello@buildclearance.com from the email address on file. We will respond within 30 days. We may retain certain information as required by law or for legitimate business purposes (e.g., tax records).
- Marketing opt-out: click the unsubscribe link in any marketing email, or email us. Transactional emails related to active orders cannot be opted out of while the order is in progress.
- Cookies: you can disable cookies in your browser settings. Disabling essential cookies may break Site functionality.
- Do Not Track: we do not currently respond to Do Not Track browser signals because there is no industry consensus on how to interpret them.
7. Children
The Service is not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us and we will delete it.
8. United States Operations
BuildClearance operates from and stores customer data in the United States. If you access the Service from outside the U.S., you understand that your information will be processed in the U.S. and subject to U.S. law.
9. Changes to This Policy
We may update this Policy from time to time. Material changes will be noted by updating the “Last updated” date above and, where appropriate, sent to active customers by email. Continued use of the Service after a change constitutes acceptance.
